An invoice asks for money. A receipt proves it arrived. Using the wrong one leaves a gap in your books that no accountant can close, so match the document to the event first.

A receipt format is the fixed layout of a document that proves money or goods have actually changed hands. Unlike an invoice, which is a request for payment, a receipt is issued only after the payment is realised — and it is the first document your accountant, your bank or your auditor will ask for when the books have to be reconciled. A proper payment receipt carries the issuer's name and address, a unique serial number in a continuous series, the date of receipt, the payer's full name, the exact amount in figures and in words, the mode of payment, the transaction or UTR reference that traces the money, and the invoice number the payment is being adjusted against. Missing any one of these makes the entry hard to match, and a bank reconciliation that cannot be matched is an audit finding waiting to happen.
Different situations call for different receipt formats, and the difference is about what the document has to prove. A goods receipt note (GRN) records the quantity and condition of material received and carries no value, because the supplier's bill will do that. A delivery receipt proves goods physically reached the buyer's premises and needs the signature of the person who accepted them. A money receipt is used for deposits, part payments and old outstanding balances, so it must show the balance still pending. An advance receipt records money taken before the invoice exists and is adjusted against the final bill later. The format also changes with the payment mode: a cheque or demand draft must show the instrument number, the bank and the date, and it must carry a printed note about dishonour — because until the cheque clears, Section 138 of the Negotiable Instruments Act, 1881 can be invoked against you.
